Moving in

Welcome. Within your first two weeks, please email board@qvhoa.com or call 832-957-1098 with the names of everyone in the household, a mailing address if it differs from the property, and the number of vehicles. The secretary will add you to the owner roster, order your pool and clubhouse key fobs, and send the welcome package.

  • Two key fobs come with each home at no charge. Replacements are $25.
  • The welcome package has the trash schedule, the amenity rules, utility contacts and the ARC application.
  • Ask to be added to the email list, and text JOIN to 832-957-1098 if you want notices by text.

Mail service

Mail is delivered to the cluster mailboxes at the kiosk by the park. Keys are not transferred between owners. Take your closing statement or a lease and a photo ID to the Conroe post office and ask for a lock change for your box number; the post office charges its own fee. Packages that do not fit go in the parcel lockers at the kiosk, and the key is left in your box.

Assessments

The 2026 assessment is $285 per quarter ($1,140 a year), due January 1, April 1, July 1 and October 1. Statements go out three weeks ahead by email, or by mail on request. Accounts more than 30 days past due are charged a $25 late fee and interest under the Declaration.

  • Pay by check to Quiet Vines HOA, 432 Callery Pear Court, Conroe, TX 77304.
  • Pay by bank transfer using the account details printed on your statement.
  • A payment plan is available for any owner who asks before the due date.

Roughly 60 percent of the budget goes to landscaping, the pool and the clubhouse. The rest funds insurance, utilities, the reserve fund and administration. The current budget is on the documents page.

Making improvements

Any change visible from the street or a neighboring lot needs approval from the Architectural Review Committee before work starts: fences, patios and pergolas, sheds, pools, solar panels, exterior paint that is not the existing color, roof replacement in a new material, and tree removal in the front yard. Routine repairs in the same material and color do not.

Send the committee:

  1. The completed ARC application from the documents page.
  2. Materials, colors and a product sheet or photo.
  3. A site drawing showing the location and the distance to each property line.
  4. Any Montgomery County or City of Conroe permit the work needs.

The committee answers within 30 days, usually sooner. There is no fee. Building setbacks under the Declaration:

Trash and recycling

Trash is collected Tuesday and Friday, recycling on Friday, and heavy trash on the first Tuesday of the month. Carts go out after 6 pm the evening before and come back in by the following morning. Carts are stored out of view from the street between pickups.

Renting your home

Homes may be leased for terms of six months or longer. Within ten days of a lease starting, send the board the tenant names, a contact number and the lease dates. Tenants receive the amenity key fobs and the welcome package, and the owner remains responsible for assessments and for the tenant’s compliance with the rules. Short-term rentals are not permitted.

Selling your home

Title companies will ask for a resale certificate under Chapter 207 of the Texas Property Code. Request one by email at least ten business days before closing; the fee is $250, payable at closing. The certificate shows the assessment balance, any open violations and the current insurance. Please also return your key fobs to the buyer at closing and let the board know the closing date so the roster can be updated.
